Summary The Administrative Coordinator will work with the Administrative Manager to ensure that clients are provided with excellent customer service. The SCSR will create and implement processes that document, process, and store client records in a timely and appropriate manner. The SCSR will work with staff and providers to schedule clients. The SCSR will work with clients to resolve balances and collect payment for services provided. The SCSR will provide appropriate training and support for SmartCare users and other software. Develop and implement a tracking process for timely completion of client documentation. Work with patients to collect outstanding payments and resolve past due accounts. Provide training and guidance for team members in using SmartCare and the registration and check-in processes. Assist clients in completing documentation. Assist clients with applying for the center's sliding fee discount program by collecting eligibility paperwork, assisting clients in completing the application, and forwarding paperwork to billing in accordance with health center policy. Produce and distribute regularly scheduled patient satisfaction survey reports. Coordinate clients' scheduling to accommodate changes in provider availability, including providers' use of PTO. Transfer clients to telehealth and block schedule as appropriate. Answer multi-line phones and direct the caller to the appropriate party or handle the caller's needs. Greet clients upon arrival, check them in using an electronic records system, and obtain insurance information and other necessary data. Provide clients with intake and new client forms and copies of applicable policies and legally required documents. Schedule appointments for recurring clients based on provider availability. • Provide patients with support and guidance as needed. Collect and process client payments, as applicable, and follow all agency policies and procedures related to the handling of payments collected. Provide excellent customer service to all internal and external customers of Boundless. Minimum Qualifications, Education, & Skills: Must be at least 18 years of age. High School Diploma or equivalent. Must have demonstrated experience in customer service. Must have strong organizational and computer skills (Microsoft Office Suite) Preferred Education & Experience Prior experience in a healthcare office setting. Supervisory Responsibility This position will not supervise staff members. Work Environment This position will work in a professional office area of a health center. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. Physical Demands The physical demands described here represent those that an employee must meet to perform the essential functions of this job successfully. This is a largely sedentary role; however, role could require lifting files, opening filing cabinets, and bending or standing. Position Type/Expected Hours of Work This is a full-time position working Monday through Friday from 8:00 a.m. to 4:30 p.m. Occasional evening and weekend work may be required as job duties demand.
