Position: Business Office Specialist Classification: Professional Support A Department: Administration Business Office Report to: Chief Financial Officer General Job Summary: This is a full-time position located at the Administration Office in Estherville. Primary responsibility is to assist the Chief Financial Officer (CFO) and Business Office Manager in the performance of duties in the Administrative Business Office and related activities. Organizational skills and self-motivation are essential. % of Time Constant (67-100%) Essential Duties / Responsibilities 1. Assist the CFO with calendar management, appointments, deadlines, and scheduling. 2. Assist students, faculty, staff, vendors, and visitors in answering inquiries and resolving problems or direct them to appropriate staff. 3. Process requisitions, invoices, and reimbursements. 4. Process and maintain budget requests and reports. Frequent (34-66%) 1. Review College p-card purchases and assist with statement reconciliations. 2. Track insurance related invoices, expenses, and reimbursements. 3. Perform clerical functions related to the CFO and Administrative Business Office. 4. Assist with document storage and electronic filing process. 5. Assist the Business Manager with business office tasks as needed. 6. Serve on committees and teams as assigned by the CFO. 7. Keep the CFO informed of campus events, incidents/occurrences as they become known. Occasional (10-33%) 1. Assume the duties of other office personnel during breaks, illnesses, or vacations. 2. Prepare agendas and meeting locations, attend meetings, take minutes, and distribute accordingly for various college committees. 3. Assist Human Resources with workers compensation claim submission and communication. 4. Serve as cashier for student accounts, including at other campuses, as needed. 5. Assist with general ledger journal entries. 6. Other duties as assigned. Knowledge, Skills, and Abilities: Represent the college in a positive, professional manner with prospective, former, and current students, and to staff and community. Must be enthusiastic, energetic, and self-directed in performance of assigned duties and responsibilities. Ability to access, input, back-up, and retrieve information from a computer for word processing, database information, and the network. Ability to organize is essential. Ability to prioritize and balance the needs of people and the task at hand. Thorough knowledge of office procedures, multi-telephone techniques and office equipment, as well as correct English usage, grammar, punctuation, and math. Possess excellent public relations and ability to read and understand written and oral instructions or communication. Ability to efficiently perform tasks in an environment of frequent interruptions. Ability to assume responsibility, deal effectively with problems and exercise good judgment when making decisions. Ability to take notes at meetings and prepare an accurate record of events. Knowledge of Microsoft 365 programs and ability to create and work with spreadsheets in Excel. Ability to maintain a high level of accuracy and confidentiality. Ability to work efficiently and effectively within the business office team. Special Demands: Sedentary to light work. Position involves sitting most of the time; exerting up to 20 pounds of force occasionally (10-33%). Stooping, kneeling, crouching, pushing, pulling, carrying, occasionally (10-33%). Walking, lifting, and grasping frequently (34-66%). Talking, hearing, and viewing various types of close visual work and repetitive motion constantly (67-100%). May be required to travel utilizing personal vehicle. Must have valid driver’s license, good driving record, and provide proof of insurance. Employment with Iowa Lakes Community College is dependent upon successful passage of a criminal background check. Must be legally eligible to work in the United States without employer sponsorship. Minimum Qualifications: An Associate Degree and three or more years of experience in a related area, including accounting, is preferred but not required. (A Bachelor’s Degree in a related area will receive added consideration.) Personal computer software knowledge and experience required. Experience with Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Microsoft Publishing, and network operation beneficial.
